Vendor Guidelines

We have a few guidelines for those wishing to vend at Querent. Please read over these guidelines before registering to vend at Querent.

Booths

Vendors select and choose their booth size when registering. Booths include a table, linens and 2 chairs. If a vendor does not need or want a table, please let the merchant coordinator know.

Electricity

We have a limited number of booths with electricity. There is an extra charge for electricity. Vendors must request electricity and pay in advance to utilize it.

First-Come

We sell our vending booths on a first-come basis.  We do not hold back booths and vending at a previous Querent does not guarantee you a spot. We suggest that vendors purchase their booths as early as possible to guarantee availability.

Guidebook Ads

Every vendor registration includes a full colour business card size ad in the conference guidebook. Vendors may upgrade to a 1/4 page ad for an additional charge when purchasing their booth. All vendors will be contacted by email with ad specs and instructors for sending in their ads after purchasing their booth.

Helpers

Vendors may purchase a helper ticket for as many helpers as they require. Helper tickets are $15.00 each. Helper tickets do not include access to the ticket only events at Querent (opening, masked ball, workshops and rituals).

Liability

Vendors are responsible for their booth and merchandise. The vendor room is locked outside open hours. Vendors vending in the Sungarden or ballroom foyer areas should make plans to secure any valuables or their merchandise when not vending.

Prohibited Items

We do not permit the sale of any illegal items, weapons, alcohol, or tobacco.

Registration

Purchasing a vendor booth does NOT include registration to the conference. However, unlike a lot of festivals and conferences we do NOT require vendors to register to attend the conference. Vendors who do not register will not be able to attend the ticketed events of Querent (workshops, opening reception, rituals, masked ball).

Setup and Tear down

Setup for the vendor room opens at 9am on Friday morning. The vendor room opens to the public at noon so vendors must be setup by noon. The vendor room closes at noon on Monday and vendors must have completed tear down by 3pm on Monday.

Vendor Room Hours

The vendor room operates noon to 6pm on Friday, 9am to 6pm on Saturday, 9am to 6pm on Sunday and 9am to noon on Monday. The vendor room is open to the general public. Registration for the conference is not required to visit the vendor room. The vendor room is locked when it is not open.

Wifi

There is free wifi available in the meeting areas of the hotel for vendors that need or want to  process credit and debit cards.
